Once you're approved to sell on ArtRewards, the process from listing to payment is straightforward. This page walks you through each stage so you know exactly what to expect.
The Application Process
Before you can sell on ArtRewards, your application must be reviewed and approved by our curatorial team. This step ensures every artist on the platform meets our quality and authenticity standards.
Here's what to expect:
- Submit your application — Provide your portfolio, artist biography, and any requested details through the application form.
- Curatorial review — Our team assesses your work for quality, originality, and fit with the platform.
- Review timeframe — Applications are typically reviewed within 5 business days. During busy periods, this may take slightly longer.
- Decision notification — You'll receive an email once a decision has been made. If approved, you'll receive instructions to complete identity verification and set up your profile.
For full details on what to prepare and how to apply, visit How to Apply.
Before You Start
Before you can list artworks, make sure you have completed the following:
- Identity verification approved by our team
- Your artist profile set up and reviewed
- Access to your artist dashboard confirmed
If you haven't completed identity verification yet, visit Validating Identity before proceeding.
Step 1: Set Up Your Artist Profile
Your profile is what buyers see when they explore your work. Take time to make it accurate and complete.
Your profile should include:
- A clear, professional artist biography
- Your location and primary medium or discipline
A complete profile builds buyer confidence and helps our curatorial team recommend your work effectively.
Step 2: List Your Artworks
Once your profile is live, you can begin uploading artworks through your artist dashboard.
For each artwork, include:
- Title — the official title of the work
- Year — when the work was created
- Medium — materials used, written clearly (e.g., "Oil on linen," "Archival pigment print")
- Dimensions — exact height × width × depth in centimetres, including frame if sold framed
- Presentation — whether the work is framed, unframed, stretched, mounted, or rolled
- Edition information — for prints or multiples, include edition number and print run size
- Price — set a price you intend to honour consistently across all sales channels
- Images — high-resolution photographs on a neutral background, including detail shots where relevant
Accurate listings reduce buyer questions, minimise disputes, and support a smooth sale.
Step 3: Artwork Goes Live
After you submit a listing, our team reviews it before it goes live on the platform. This typically takes one to two business days.
We may contact you if:
- Images do not meet our quality standards
- Artwork information is incomplete or inconsistent
- Pricing appears inconsistent with other channels where the work is listed
Once approved, your artwork is visible to buyers worldwide.
Step 4: You Receive a Sale Notification
When a buyer purchases one of your works or an offer is accepted, you will receive a notification through your dashboard and by email. The notification includes:
- Artwork title and order reference number
- Buyer's shipping address and destination country
- Confirmation that payment has been secured
Do not contact the buyer directly. All buyer communication is handled through ArtRewards.
Step 5: Prepare and Ship the Artwork
Once you receive a sale notification, you are responsible for preparing and shipping the artwork safely and promptly.
Key expectations:
- Ship within the required timeframe stated in your dashboard notification
- Package the work securely to prevent damage in transit
- Include the Certificate of Authenticity with every original work sold
- Provide tracking information through your dashboard once the work is dispatched
For full packaging standards, shipping timelines, and documentation requirements, visit the Artist Shipping Responsibilities page.
For requirements regarding the Certificate of Authenticity, visit Certificate of Authenticity.
Step 6: Buyer Receives the Artwork
After delivery, the buyer has a window to confirm receipt and raise any concerns. ArtRewards manages all post-delivery communication with buyers directly.
If there is an issue with delivery or a buyer concern, our support team will contact you with details. Respond to support requests promptly to resolve matters quickly.
Step 7: Payment Is Released
Payment is released to you after the buyer's review window has closed and no disputes have been raised.
Payment is sent to the bank account or payment details registered in your artist dashboard.
Payment timelines may vary depending on the payment method and your location. If you have questions about a specific payment, contact our support team with your order reference number.
Managing Your Listings
You can update, edit, or deactivate listings at any time through your artist dashboard. If a work sells elsewhere, deactivate it on ArtRewards immediately to avoid a duplicate sale situation.
Pricing consistency across platforms is required under our Exclusivity Policy. Review that page if you sell through other channels.
Common Questions
- Can I sell work that is currently shown in a gallery?**This depends on the terms of your gallery agreement and our Exclusivity Policy. Review the Exclusivity Policy page or contact our support team before listing.
- What happens if I can't ship within the required timeframe?**Contact our support team as soon as possible. Do not leave a shipment overdue without notifying us. Repeated delays may affect your standing on the platform.
- Can I set my own prices?** Yes. You set your own prices. However, pricing must remain consistent with that used in other sales channels where the same work appears.
- What if a buyer makes an offer I want to decline?**You can accept, decline, or counter any offer through your dashboard. You are not obligated to accept any offer below your listed price.
- What if my artwork is damaged in transit?**Contact our support team immediately with photos of the packaging and the damage. Visit Artist Shipping Responsibilities for guidance on packaging standards that reduce transit risk.
